Despite advances in technology, paper still plays a
very large part in the lives of most businesses.
The ability to handle large and complex flows of information
quickly and efficiently can frequently be the factor

allow staff the speed of access to information that
modern business practice demands. In addition, paper

managing them within a document management system.
Paper documents, once scanned into your computer system,
can be viewed by all staff authorised to see them.
Once in your system, these electronic images can be
sent to other workstations or offices
e-mailed, faxed or printed
attached/appended to other documents
edited, eg the addition of an electronic “paid”
stamp, signature or comment
saved and indexed with suitable criteria so that they
can then be retrieved using a simple or complex search.

Basic document management systems will include the ability
to scan paperwork into electronic images, and save the
resultant files. Limiting factors include the number
of workstations that can participate in such systems,
the power of the search function, the number of file
types that can be accessed, and the range of activities
that can be undertaken to manage and manipulate the
files and the information contained therein.
